Offline Attendance Marking – Mobile Application

Overview

The Offline Attendance Marking functionality enables users to mark attendance even when internet connectivity is unavailable or unstable. The feature is designed to ensure uninterrupted attendance tracking while maintaining data integrity and synchronization with the server once connectivity is restored.

The module is integrated within the mobile application and follows the permission and validation mechanisms configured in the Frappe framework.


Objective

The purpose of Offline Attendance functionality is to:

  • Prevent attendance loss during network outages

  • Allow employees to continue attendance operations seamlessly

  • Automatically synchronize offline records when internet becomes available

  • Ensure secure and validated attendance submission

Online Scenario

When internet connectivity is available:

  • Attendance is directly submitted to the server

  • Real-time response and confirmation are provided

Offline Scenario

When internet connectivity is unavailable:

  • Attendance data is stored locally in the device

  • User receives confirmation that attendance has been saved offline

  • Records remain in pending synchronization state


Local Offline Storage

Offline attendance entries are securely maintained within local mobile storage.

  • Employee ID

  • Attendance Type (Check-In / Check-Out)

  • Date

  • Timestamp

  • Device-generated metadata

  • Sync status


Auto Synchronization Mechanism

Once internet connectivity is restored:

  • Pending offline attendance records are automatically synchronized with the server

  • Successful synchronization updates attendance status

  • Synced entries are removed from pending offline queue


Duplicate Attendance Prevention

The system prevents duplicate attendance marking during offline and synchronization operations.

Validation Rules

  • Duplicate Check-In entries are restricted

  • Duplicate Check-Out entries are restricted

  • Existing attendance records are validated before sync submission


Attendance Status Indicators

The mobile application displays attendance states for better user visibility.

Sync Failure Handling

If synchronization fails:

  • Attendance remains stored locally

  • User is notified regarding failed synchronization

  • System retries synchronization automatically when connectivity stabilizes


Validation Rules

Mandatory Validations

  • Employee must be authenticated

  • Valid attendance sequence must be maintained

    • Check-In before Check-Out

  • Invalid attendance actions are restricted

End-to-End Workflow

  1. User opens Attendance Module

  2. System checks internet connectivity

If Online:

  1. Attendance is directly submitted to server

If Offline:

  1. Attendance is stored locally on device

  2. User receives offline save confirmation

  3. Attendance marked as Pending Sync

Once Connectivity Restores:

  1. System initiates auto synchronization

  2. Duplicate validations are performed

  3. Attendance records are submitted to server

  4. Sync status is updated accordingly
